Keeping records of customer WhatsApp chats for a small business

Plenty of small businesses run on WhatsApp: orders, sizes, delivery addresses, quotes, a photo of the finished job, a customer saying yes. That makes the chat history a business record, and it deserves better than living only on one phone.

First, the limit. Chatcove reads the regular WhatsApp app on an iPhone. It does not read the separate WhatsApp Business app. If your business uses WhatsApp Business, this page's advice on records still applies, but use WhatsApp Business's own Export Chat or a tool on our comparison page that lists WhatsApp Business.

Why a phone is not a record

  • It can be lost, broken or replaced, and the chats go with it unless a backup was made and restores cleanly.
  • It is hard to search across customers. Finding every order from March, or the message where a price was agreed, means scrolling.
  • It is hard to hand over. An accountant, a business partner or, in a dispute, a lawyer needs a file, not your phone.

What a useful record looks like

  • Complete: the whole conversation, not screenshots of the good parts.
  • Dated: every message with its date and time, and the time zone stated.
  • Attributed: who said what, by name or by phone number.
  • With the attachments: the photo of the item, the invoice PDF, the voice note with the address.
  • In ordinary files: readable in ten years without the app that made them.

How to do it with Chatcove

  1. Connect the business iPhone to your Mac and open Chatcove. It makes an encrypted backup on the Mac; you enter the passcode on the phone once.
  2. Browse and search across every chat, free, to check everything is there.
  3. Choose the chats to keep, or all of them, and the format for the job (below).
  4. Set a date range if you only want, say, last year, and choose whether senders are shown by contact name or by phone number. Numbers are less friendly but unambiguous, which is usually what a record needs.

One PDF per customer

A PDF export writes a file per chat, with dates, senders and the photos in the page. It is the version to file, print or send to someone. More in WhatsApp chat to PDF.

A spreadsheet of every message

A CSV export gives one row per message with the chat, timestamp, sender, direction and text, and can combine every chat into a single file. Filter it by customer, search it for an order number, or count orders per month. See WhatsApp chat to Excel.

The full conversations with attachments

An HTML export keeps each chat looking like the conversation, with every photo, document and voice note in a folder beside it. It is the best everyday archive to browse.

Every export records when it was made, and all message times are written in UTC, so a record means the same thing wherever it is opened. The CSV marks this in every timestamp; the PDF and HTML pages do not label each message, so note it with your records.

A simple routine

  • Monthly or quarterly, connect the phone and export the period as PDF and CSV into a dated folder.
  • Keep the folders on encrypted storage (check FileVault is turned on in System Settings) with a second copy on an encrypted drive or a business cloud folder.
  • Delete what you no longer need. Customer messages are personal data. Keep what your records obligations require, for as long as they require it, and no longer.

Because Chatcove works entirely on your Mac, customer conversations are never uploaded to us or to anyone else in the process. There is no account and no server for your chats.

Cost

$9 once, for up to 2 Macs, for example the shop and home. No subscription, no per-seat fee. Browsing everything is free, and the trial includes 3 exports of one chat each so you can check the files suit your records. If the chats are needed in a legal dispute, read our guide on WhatsApp messages as evidence and talk to a lawyer.

Common questions

Does Chatcove work with the WhatsApp Business app?

No, not today. Chatcove reads the regular WhatsApp app on an iPhone. If your business runs on the separate WhatsApp Business app, use its own Export Chat per conversation, or a tool that lists WhatsApp Business support, such as those on our comparison page.

Can I export one PDF per customer?

Yes. Select the customers' chats and export as PDF, and each chat becomes its own file, named after the chat. Very long chats are split into numbered parts so each file stays manageable.

Can I export just one year, for example a tax year?

Yes. Every export can be limited to a date range. The range is applied in UTC, which is how all times in the export are written.

Is it legal to keep copies of customer chats?

Keeping business records is normal and often required, but customer messages contain personal data, and rules on how long you keep it and how you protect it depend on where you operate. Ask an accountant or legal adviser about your obligations. Practically: keep the files on encrypted storage, limit who can open them, and delete what you no longer need.
